1. Who I am

I’m Jessica Harley, trading as Jessica Harley Coaching. I’m responsible for the personal information you share with me.

2. What I collect and why

  • If you contact me by email, phone or through my website, I collect your name, contact details and anything you choose to tell me so that I can respond.
  • If you book a consultation through Calendly, I collect your name, email address and booking answers so that I can arrange and prepare for our call.
  • If we work together, I may keep your contact details, coaching agreement, payment records and brief notes or materials connected with our work. This allows me to provide the coaching we have agreed and maintain appropriate business records.
  • If you ask me to email your Untangling Map, I receive your email address, the thread your map recommends and the coaching path it points to. I use these to send the appropriate map email. The other answers you enter remain in your browser and are not sent to me.
  • If you choose to receive the five letters, I use your email address, recommended thread and coaching path to send them. This is optional and separate from requesting your map.
  • If you visit my website, limited technical information may be collected for security and, where you have accepted the relevant cookies, to help me understand how the website is being used.

You may sometimes choose to share sensitive information, such as information about your health. I only use this where it is relevant to the support you have asked me to provide.

 

3. My reasons for using your information

I use personal information only when I have a lawful reason to do so:

  • to respond to an enquiry or take steps you have requested before working together;
  • to provide coaching or another service we have agreed;
  • with your consent, when you ask to receive the five letters or other marketing emails;
  • for my legitimate interests in running, protecting and improving my business, provided these do not override your rights; or
  • to meet legal, accounting and tax obligations.

You can withdraw your consent to marketing at any time by using the unsubscribe link in an email.

 

4. The Untangling Map

The Untangling Map uses your answers to recommend a thread and, where there is a sufficiently clear result, a relevant coaching path.

This recommendation is produced automatically using the map’s scoring rules. It is intended as a reflective starting point, not a diagnosis or a decision about you. It has no legal or similarly significant effect, and you are free to disregard it.

 

5. Who else handles your information

I use trusted services to run my business, including:

  • MailerLite for map and email delivery;
  • Calendly for bookings;
  • Google Workspace for email and documents;
  • Notion for client materials;
  • Hipposerve for website hosting; and
  • SquareSpace for email hosting

These providers may only handle your information to deliver their services to me. Some may process information outside the UK. Where this happens, I rely on the safeguards required by UK data-protection law.

I do not sell your information. I only share it where necessary to provide my services, comply with the law, protect someone from serious harm, or establish or defend legal rights.

 

6. How long I keep it

  • Map delivery information: 12 months after your map is sent.
  • Five-letter subscribers: until the sequence has ended or you unsubscribe. I may retain a minimal record of an unsubscribe request so that I do not contact you again accidentally.
  • Enquiries and bookings that do not lead to coaching: 12 months after our last contact.
  • Coaching notes and client records: six years after our work ends, unless I am legally required to keep them for longer. I keep coaching notes brief and delete them securely at the end of this period.
  • Financial and tax records: for at least five years after the relevant 31 January tax-return deadline, or longer where required by law.

I delete or anonymise information when I no longer need it.

 

7. Keeping your information safe

I take reasonable steps to protect personal information from loss, misuse and unauthorised access. Access is limited to the services and people who need it for the purposes described in this notice.

 

8. Your rights

Depending on the circumstances, you can ask me to:

  • give you a copy of the information I hold about you;
  • correct inaccurate information;
  • delete your information;
  • restrict or object to how I use it;
  • provide certain information in a portable format; or
  • stop using information where you have withdrawn your consent.

Email me at jess@jessharleycoaching.co.uk and I will normally respond within one month.

If you are unhappy with how I have handled your information, please contact me first so that I can try to resolve it. You can also complain to the Information Commissioner’s Office at ico.org.uk.
