1. Who I am

I’m Jessica Harley, trading as Jessica Harley Coaching. I’m responsible for the personal information you share with me.

You can contact me about your information at jess@jessharleycoaching.co.uk

2. What I collect and why

  • If you contact me by email, phone, WhatsApp or through my website, I collect your name, contact details and anything you choose to tell me so that I can respond to your enquiry.
  • If you book a consultation through Calendly, I collect your name, email address and booking answers so that I can arrange and prepare for our call.
  • If we work together, I may keep your contact details, coaching agreement, payment records and brief notes or materials connected with our work. This allows me to provide the coaching we have agreed and maintain appropriate business records.
  • If you ask to receive advice from the Untangling Map by email, I collect your email address, recommended thread and coaching path so that MailerLite can send the relevant advice. Your completed map is downloaded privately in your browser. Your individual answers and private reflections are not sent to me or MailerLite.
  • If you choose to receive the five letters, I use your email address, recommended thread and coaching path to send them. This is optional and separate from requesting your map.
  • If you visit my website, limited technical information may be collected for security and, where you have accepted the relevant cookies, to help me understand how the website is being used.

You do not need to provide health information to enquire about coaching. Please avoid including sensitive personal details in website forms or WhatsApp messages. I do not routinely record health information in coaching notes.

3. My reasons for using your information

I use your information for the following reasons:

  • Enquiries and consultations: to take steps at your request before entering into a coaching agreement. For general enquiries, I rely on my legitimate interest in responding to people who contact my business.
  • Coaching and client administration: to provide the services we have agreed under our contract.
  • The optional Untangling Map advice email: to fulfil your request to receive the advice, relying on your consent.
  • The five letters and other marketing emails: with your consent. Requesting the map advice email does not automatically subscribe you to marketing.
  • Financial and tax records: to meet my legal obligations.
  • Website security and business administration: for my legitimate interests in protecting and running my business, where these do not override your rights.
  • Optional website analytics cookies: with your consent through the cookie banner.

Where I rely on consent, you can withdraw it at any time without affecting the lawfulness of what I have already done. You can unsubscribe from marketing using the link in an email, or contact me at jess@jessharleycoaching.co.uk.

4. The Untangling Map

The Untangling Map uses your answers to recommend a thread and, where there is a sufficiently clear result, a relevant coaching path.

This recommendation is produced automatically using the map’s scoring rules. It is intended as a reflective starting point, not a diagnosis or a decision about you. It has no legal or similarly significant effect, and you are free to disregard it.

5. Who else handles your information

These services handle personal information according to their roles and applicable privacy terms. Where a provider processes information on my behalf, I use appropriate data-processing agreements.

  • MailerLite for sending the optional Untangling Map advice email and the five letters;
  • Calendly for bookings;
  • Google Workspace for email and documents;
  • Notion for client materials;
  • Hipposerve for website hosting; and
  • WhatsApp Business for responding to enquiries and messages.

These providers may only handle your information to deliver their services to me. Some may process information outside the UK. Where this happens, I rely on the safeguards required by UK data-protection law.

I do not sell your information. I only share it where necessary to provide my services, comply with the law, protect someone from serious harm, or establish or defend legal rights.

6. How long I keep it

  • Map advice email information: 12 months after your map is sent.
  • Five-letter subscribers: until the sequence has ended or you unsubscribe. I may retain a minimal record of an unsubscribe request so that I do not contact you again accidentally.
  • Enquiries and bookings that do not lead to coaching: 12 months after our last contact.
  • Coaching notes and client records: six years after our work ends, unless I am legally required to keep them for longer. I keep coaching notes brief and delete them securely at the end of this period.
  • Financial and tax records: for at least five years after the relevant 31 January tax-return deadline, or longer where required by law.

I delete or anonymise information when I no longer need it.

7. Keeping your information safe

I take reasonable steps to protect personal information from loss, misuse and unauthorised access. Access is limited to the services and people who need it for the purposes described in this notice.

8. Your rights

Depending on the circumstances, you can ask me to:

  • give you a copy of the information I hold about you;
  • correct inaccurate information;
  • delete your information;
  • restrict or object to how I use it;
  • provide certain information in a portable format; or
  • stop using information where you have withdrawn your consent.

Email me at jess@jessharleycoaching.co.uk and I will normally respond within one month.

If you are unhappy with how I have handled your information, please contact me first so that I can try to resolve it. You can also complain to the Information Commissioner’s Office at ico.org.uk.

9. Cookies

This website uses cookies. You can choose which optional cookies to accept through the cookie banner. More information is available in my Cookie Policy.
